Manage daily operations and logistics of the Munich office, including facilities, vendor coordination, and front-of-house responsibilities.

Responsibilities

  • Office Operations & Front-of-House
  • Professionally welcome and host guests, partners, and candidates, ensuring a warm and professional first impression.
  • Serve as the first point of contact for building management and daily service providers such as cleaning.
  • Manage all incoming and outgoing mail and deliveries, including courier coordination and tracking.
  • Organise and order office materials, kitchen snacks, and beverages, keeping supplies stocked proactively before items run out.
  • Set up seating for new hires and plan team seating arrangements in coordination with local POCs.
  • Facility Setup & Maintenance
  • Manage desk allocation, building access, and meeting room coordination on a day-to-day basis.
  • Oversee small maintenance and repair needs, escalating to the appropriate vendor or building management where required.
  • Manage the physical security system — key fobs, alarms, and CCTV — and ensure all protocols are followed by staff and visitors.
  • Support with office layout planning, desk moves, and long-term capacity planning as the company grows.
  • Vendor Management & Budget
  • Own and maintain relationships with landlords, facility management providers, and logistics partners.
  • Conduct regular performance reviews and quality checks for key vendors including cleaning, HVAC, security, and janitorial services.
  • Own the office and facilities operating budget — tracking expenses, identifying cost-saving opportunities, and forecasting maintenance needs with support from the finance team.
  • People Team & Training Support
  • Manage local logistics for new hires, including desk readiness and SWAG distribution.
  • Act as the first point of contact for employee questions on Munich office topics and People Team basics.
  • Coordinate logistics for internal and external training sessions, including room bookings and materials preparation.
  • Safety & Compliance
  • Take full ownership of Health & Safety compliance across all office locations.
  • Proactively manage all H&S operational requirements to maintain a safe and compliant workspace for all staff and visitors at all times.
  • Act as the primary point of contact for all H&S matters and ensure reporting and  documentation. 
  • Community, Culture & Events
  • Plan and execute internal events — team lunches, Flydays, workshops, and company all-hands — from concept through to delivery.
  • Foster a positive, inclusive office environment and keep internal Slack channels updated and engaged.
  • Champion workplace culture, ensuring the office remains a space where people feel welcomed and at home.

Requirements

  • Friendly and service-oriented, comfortable being a visible, approachable presence in the office.
  • A hands-on, detail-oriented approach. You take pride in keeping things running and looking great, and nothing slips through the cracks.
  • Great organizational skills and willingness to implement and improve processes.
  • Fluency in English and German is essential.
  • Prior experience in an office, hospitality, facility, or similar operational environment is an advantage.
  • Proficiency in Google Workspace is an advantage.
