Responsible for managing daily office operations, facilities, and employee support in a fast-growing financial services company office.
Responsibilities
- • Oversee day-to-day office operations and maintain a smooth, professional working environment for a growing team.
- • Manage facilities: workspace, seating, maintenance, health and safety, and readiness ahead of headcount growth.
- • Handle vendor and supplier management — contracts, procurement, negotiation and office supplies.
- • Provide administrative and employee support across the office, including onboarding logistics for new starters.
- • Coordinate closely with HR, Finance, IT and regional leadership on local needs and requests.
- • Organise meetings, internal events, town halls and team logistics.
- • Maintain accurate documentation, records, office budgets and expense tracking.
- • Act as the local first point of contact for the office and support its continued setup and scaling.
Requirements
- • Proven experience in office management, operations or administration, ideally in a fast-paced environment.
- • Strong organisational, multitasking and attention-to-detail skills.
- • Experience managing vendors, contracts and office budgets.
- • Confident communication and the ability to coordinate across multiple internal teams.
- • Fluency in English and Bahasa Malaysia.
- • Eligibility to work in Malaysia.
Nice to have
- • Experience setting up or scaling a new office or site.
- • Background in financial services, brokerage or another regulated environment.
- • Familiarity with HR, Finance and IT coordination and common office systems.
- • Event and meeting coordination experience; additional languages an advantage.
