Responsibilities

  • Alembic is growing fast, and we're hiring an Operations Coordinator to join our Operations team — the people who make everyone else's work easier. This is a broad, ground-floor role with real ownership: you'll keep the company running day to day and take on the projects that let us scale. Your first and most urgent priority is our office expansion — taking our space from one built for 50 to one built for 150 — and from there you'll own a rotating set of operational projects that keep the team humming.   • Your immediate priority is leading our office expansion — coordinating contractors, the landlord, and budgets to build out new floors, basement, and storage, and getting each phase fully operational (access, security, supplies, logistics) so the team can just work.
  • From there, you'll take on projects across our operations, for example:
  • Sourcing and coordinating vendors and suppliers — facilities, services, and supplies — and keeping terms and renewals on track.
  • Assisting on a SaaS/tools audit — mapping our stack, flagging redundant tools and unused licenses, and driving efficiencies.
  • Planning and running company events, from team offsites to the holiday party.
  • Handling day-to-day office logistics — supplies, meeting and visitor flow, and general team support.
  • Being the first stop for everyday IT and facilities questions, resolving the quick ones and routing the rest.
  • You take pride in making everyone else more productive — the team works better because you're on it.
  • You like variety and broad ownership, and you'd rather build systems from scratch than maintain someone else's.

Other

  • 2–4 years in operations, workplace/office coordination, a similar all-rounder role at a fast-moving company, or an entry-level interest in rapidly earning stripes.
  • Highly organized project manager — you can run vendors, budgets, and deadlines at once without dropping any of them.
  • A hands-on bias for action and genuine comfort with ambiguity and shifting priorities.
  • Excellent communication and a service mindset — people trust you to get things handled.
  • Willingness and ability to be on-site — this is an in-person role.
  • Bonus: experience supporting an office build-out or move, vendor sourcing and negotiation, event planning, or having helped a startup scale through rapid growth.
