Provide high-level operational, administrative, and hospitality support to executives to ensure organization and smooth internal processes.
Responsibilities
- As our Executive Assistant , you’ll provide high-level operational, administrative, and hospitality support across the business — helping executives stay organized, ensuring key internal processes run smoothly, and creating thoughtful employee experiences along the way. You’ll act as a reliable go-to for coordination, follow-through, and problem solving, bringing structure, discretion, and a strong service mindset to both executive support and day-to-day workplace needs.
Requirements
- 2+ years of experience in concierge services, hospitality, executive support, operations, or similar coordination-heavy roles.
- Excellent organizational and multitasking abilities.
- Strong written and verbal communication skills in both English and Spanish.
- High attention to detail and a proactive, problem-solving mindset.
- Strong service orientation and ability to handle a wide range of requests with professionalism.

- Manage and fulfill day-to-day requests from executives, ensuring priorities are handled efficiently and with attention to detail.
- Handle executive calendars and email inboxes, helping keep schedules, communications, and follow-ups organized.
- Track action items from executive meetings and ensure they are followed through to completion.
- Coordinate reservations, travel arrangements, and bookings for executives and remote team members when needed.
- Maintain strict confidentiality when handling sensitive information.
- Support internal processes such as survey completion (360s, pulse surveys, and similar initiatives).
- Track and organize partner and executive expenses.
- Support the organization of offsites, retreats, internal meetings, and company events.
- Coordinate logistics and details to help create smooth, thoughtful team experiences.
- Own and keep the employee leave calendar up to date.
- Schedule personal development sessions for the CEO.
- Maintain employee and equipment trackers accurately and consistently.
- Support internal HR and people initiatives such as Let’s Connect! and similar programs.
- You’re highly organized, dependable, and able to manage multiple moving pieces without losing track of details.
- You naturally think in terms of service and experience, and you care about making things feel smooth, thoughtful, and well handled for others.
- You’re resourceful, practical, and quick to step in when something needs attention or coordination.
- You handle sensitive information with professionalism, maturity, and sound judgment.
- You communicate clearly and confidently in both English and Spanish, and you’re comfortable working with executives, employees, and external stakeholders.
